Introduction

Noughts & All is committed to respecting the privacy of your personal and business information and complies in every respect with the National Privacy Principals contained in the Privacy Act 1988.

Scope

This document sets forth the policy and procedures of Noughts & All with respect to privacy. All clients, employees, subcontractors, and other interested stakeholders of Noughts & All are required to comply with this policy statement.

Intent

To outline a framework for Noughts & All to responsibly manage the information provided by individual and organisations in accordance with the Privacy Act 1988, National Privacy.

In accordance with the National Privacy Principles our client’s private information will be made available to them upon request.

 

Policy Principles & Procedures

Collection & Management of Personal Information

In the capacity of virtual assistant, Noughts & All may hold confidential and sensitive information about clients, and will only use personal or business information you have supplied in order to provide the best possible service to you as our client and to ensure that we are complying with our own legal obligations.

The types of information that Noughts & All collects include:

  • Company names, addresses & contact details
  • Individual names, addresses & contact details
  • Data relating to your taxation status including TFN, ABN, GST registration, PAYG registration & business structure type if we provide you with bookkeeping services.
  • Employee details including individual names, date of birth, address, contact details, tax file number & superannuation fund membership if we process your payroll.
  • Financial information including payroll information, bank account numbers & statements, credit card statements, ATO correspondence, business loan & lease agreements, cheque books and deposit books.
  • Login details, including passwords for software we are invited to use for the purpose of providing you as our client, the best possible service.
  • Tax Accountant’s contact details
  • Online business bank accounts login details are not collected & should you request we access this facility, you must arrange this access via your bank.

These details may be collected directly from you (in person or electronically), or otherwise obtained from a third party with whom you have a business relationship.

Disclosing Your Information

Noughts & All does not provide client’s private information to third parties without their written consent unless:

  • Required by law.
  • It is believed to be necessary, to provide you with a service for which you have requested.
  • To protect the rights or property of Noughts & All, or any member of the public.
  • To reduce a threat to a person’s health or safety.

In order to deliver a service you have requested we may sometimes share your information with an affiliate or with a service partner. This may include members of your staff, your accountant, solicitor or other professional advisors.

We may disclose your personal & business information to any member of our group. This includes, where applicable, employees and sub-contractors who are required to respect the confidentiality of the personal information and the privacy of individuals.

Noughts & All only works with clients in Australia & will never send your confidential information overseas in order to cut costs, unlike a number of other bookkeeping & virtual assistant organisations. Your information will only be accessed in either your office or ours.

Use of Your Information

In the capacity of Virtual Office Assistant, Noughts & All may hold confidential and sensitive information about clients, and will only use personal or business information you have supplied in order to:

  • Identify you as a client.
  • Provide better service to you, your business partners and your employees.
  • Operate our business as it pertains to you.
  • To meet our contractual commitments to you.
  • Keep you informed about services.
  • Fulfil legal and regulatory obligations.

By giving us information, you consent to these uses.

Storing Your Data

Noughts & All will endeavour to take all reasonable steps to keep secure any information which is held about you and your business, and to keep this information accurate and up to date. Any errors brought to our attention will be promptly corrected.

Your information is stored in secure environments, and these arrangements are continually reviewed to ensure Noughts & All is doing all that is reasonably and technically feasible at the time to protect your information. As a minimum, all data is password protected & is backed up via a cloud based solution called IDrive on a daily basis.

Those that provide services to Noughts & All, acting in the capacity of an employee, and, or a sub-contractor are obliged to respect the confidentiality of any information held. Conversely, Noughts & All will not be held responsible for events arising from unauthorised access to your personal and business information.

All clients are expected to play an active role in keeping personal and business information secure, by maintaining the confidentiality of any password and account information used in conjunction with Noughts & All. Please notify us immediately if there is any unauthorised use of your account or any other breach of security.

Your data will be retained by us after you cease being our client for a period of 6 years. After this time, your data will be destroyed in a secure manner.
